Default Subtotal Levels not showing in Excel

Sometimes when I subtotal an excell worksheet, the subtotal levels
(1,2,3) will show and sometimes they don't. I'm assuming this
probably has to do with some setting in excel but I can't figure it
out. Can anyone help??

Thumbs up Answer: Subtotal Levels not showing in Excel

Yes, I can definitely help you with that! The reason why the subtotal levels (1,2,3) are not showing up could be due to a few different reasons. Here are some steps you can take to troubleshoot the issue:
  1. Check the "Summary below data" option: When you are using the Subtotal feature in Excel, there is an option called "Summary below data" that you can select. This option determines whether the subtotal levels will be displayed or not. To check if this option is selected, go to the "Data" tab in the ribbon, click on "Subtotal", and make sure that the "Summary below data" option is checked.
  2. Check the "Replace current subtotals" option: Another option that can affect whether the subtotal levels are displayed or not is the "Replace current subtotals" option. This option determines whether the existing subtotals will be replaced with new ones or if new subtotals will be added to the existing ones. To check if this option is selected, go to the "Data" tab in the ribbon, click on "Subtotal", and make sure that the "Replace current subtotals" option is unchecked.
  3. Check the formatting of the cells: Sometimes, the subtotal levels may be present but not visible due to the formatting of the cells. To check if this is the case, select the cells that contain the subtotals and change the font color to a different color. If the subtotal levels become visible, then the issue was with the formatting of the cells.
  4. Check the grouping of the data: If you have grouped your data in Excel, this can also affect whether the subtotal levels are displayed or not. To check if this is the case, go to the "Data" tab in the ribbon, click on "Ungroup", and see if the subtotal levels become visible.

I hope these steps help you troubleshoot the issue with your subtotal levels not showing up in Excel.
