Default producing a list from a programme

this would have to be done once a week, but transposing the
information does not work as for instance act 1 New Pipework to
boilers is carried out on a monday and a tuesday, On the programme
this is represented by one description with two cells (mon Tues)
coloured in.

Sound more like you need a Gantt Chart.

We do use software to produce gantt charts for the main programme, but
people on site are more comfortable using excel to produce a two week
gantt chart.
