Default Passing information between worksheets

Hi

I would like to know if you can help me with the following:

1) I am setting up an appointment booking system and when a visitor proposes
an appointment time and date, I would like this information to be kept within
this workbook, but also copied to a different workbook, which is managed by
an administrator. Then once it is held within the administrators workbook, I
would like there to be an option for the administrator to either the accept
or reject the appointment. If accepted, the visitors spreadsheet (who sent
the appointment proposal) should get updated. They should be able to see
whether it has either been accepted or rejected by colour reference i.e. the
appointment should change to green if it is accepted or go red if rejected.

Please let me know if this is possible? Thanking you in advance.
