I found the answer to the problem. I googled it and found this answer and I
am sure this is it. When our IT Manager returns on Monday I am confident he

If it is the same file that is causing the problem, choosing File, Page
Setup, Sheet tab, check Black and white.
If it is happening to all files (check Word, and PowerPoint printouts) then
maybe your printer is out of color toner and somehow switches to black and
white.
