Default getting a list from a database

using Excel (XP, 2003, 2007) i have an excel database for schools, (3000)
schools, each time or for each new tender i need to get a list of schools
(20, 50 ,150,) out from this database , i do this by searching for each
school in the main data base, is there an easier way to do that.

What criteria are you using to select those schools? Perhaps applying
a filter to appropriate column(s) is what you need, but you will have
to give further details of you data and what you want to achieve from
it.
