Default Scan from a document to excel with separate cells

I have data sheets with a format that I need transfered into excel. What is
the best step by step process to copy the data into it individual cells. If
I copy and paste from pdf version all the data just goes into one cell.

Also is there a way to use a command to replace certain characters with
something else (ex: (...) to (0)?
