Sending pivottables to external users
 
Dear users,

Let me explain my situation. I am inputting data into a sheet. This data is
summarized in a new file via a pivot table. I want to be able to send this
pivottable to other companies (external users) so they can open the file and
view the summary of the data. When I do this now the external user gets an
error message that the source data cannot be found.

Suggestions are highly appreciated!

Just extract the summary values (Highlight the table, Copy, then
paste/special/values.)

A pivot table is really a list of formulae refering to your original
data. If you just extract the shhet , it loses the original data.
Using the the above procedure will convert the formulae to values so
the table will look right when they get it.

Easiest way I've found is to do the following;
Edit - Move or copy sheet
Create a copy + New Book
Highlight the entire sheet of the new book then....
Right click the mouse and choose copy then right click the mouse again and
choose paste special - Values. Now just do "Save as" and it's ready to mail
out.

Many thnks gjcase and Paul, that already helps me a lot.

this would however remove the pivottable functionality (e.g. selecting
certain data by clicking on the header).

Is there no way to have the pivottable copying the source data into the file
itself or something? This to keep the pivottable functionality without having
to refer to the source.

Reason for asking is that I want to keep the manual work to a minimum

Just read something about breaking links in formula. Is it also possible to
break the links to a other excel sheet from which the pivot retrieves its
data without losing the data?

Sending pivottables to external users
 

No, you need the linked data. Just send your external user the original
data if you need them to have full functionality. All you need send is
the pivot table plus the sheet the original data is on.
