data linking/field matching/formula updating long question
 
I am currently using several excel sheets to track billing and payments for
my business. I start a new fiscal year in July, and I would like to have all
the things that I currently do, in one place and simpler! I currently use
excel spreadsheets to: Track the vouchers we issue for payment of treatment;
Make a list of bills that include payee, note field, cost center and the
amount the check needs to be written for; Word to create the voucher to send
to the treatment provider. After entering the bill in the financial database,
I have to enter it in the voucher database also. My usual routine: I get a
request in word for funding from other departments, sent by email. I create a
voucher in word and email it to the requestor and the treatment provider. The
voucher contains the amount authorized, what it is used for and when it has
to be used by. I enter all the information contained in the voucher and the
request into an excel sheet, (called book A) Once I get the bill from the
provider, I enter that information into a different database (called book B)
that is sent to our CPA, so he can cut the checks. Book B contains data for
all our bills, many fields or cells that have nothing to do with Book A. I
then enter information from the bill into book A- using some of the same.
and different fields than in Book B. I run reports from both Book A and B I
also have another Book B type excel sheet that is for another part of the
company. I have to keep those bills separated, as there are 2 different
funding streams€¦.. I envision a way where there is much less duplicate data
entry. That entering the data in once would put the information into all the
correct books and the formulas in Book A would be updated. I hope this
explanation is understandable, since I do these tasks on a daily basis, I
tried to explain the basics without getting too deep into the minutiae. Is it
possible to link all the fields or cells to combine all this into one place,
or is there a different program that might be better. i can send you parts of
the spreadsheets if you would like to view what i am trying to explain. thank
you for any help you can provide
