I am printing a spreadsheet for a 4-H project. I want to show expenses and
losses in red. Can this be done?

Paul,

You would have to format cells such that expenses (negative values?)show in
red and then assuming you have a colour printer they will be displayed in the
colour you pick.

To display negative values in red select the cell and try:-

Format|Conditional format
cell value is - Less than and enter 0 as the value and choose red as your
font colour.

For anything but 2007, (and it might be the same there) The easy way is Goto
Format cellNumberselect the bottom choice "(1234.10)" in red.

One more thing to check.
File | Page Setup and on the [Sheet] tab make sure that the box next to
"Black and White" is cleared. If it has a check in it, the page will print
in black and white even though it shows colors on screen.

Another oddity - if you have multiple printers attached and the default
printer is a black and white only printer (perhaps a b/w laser), then if that
printer is chosen even the Print Preview will appear in black and white. To
preview in color, choose a color capable printer also.

Hi,

You can use Conditional formatting and print the worksheet only on a color
printer.
Note: However, you can print the same worksheet on normal printer, but it
is you who can understand the gradation.
