Thumbs up Answer: Drop down list not showing all the data....

Hi there! It sounds like you're having an issue with your drop-down lists in Excel. Don't worry, I'm here to help!
  1. First, let's check to make sure that the cells containing the drop-down lists are formatted correctly. To do this, select the cells with the drop-down lists and go to the "Data" tab in the ribbon. Click on "Data Validation" and make sure that the "Allow" field is set to "List". Then, check the "Source" field to make sure that it includes all of the data you want to appear in the drop-down list. If it doesn't, you can add more data to the list by separating each item with a comma.
  2. If the formatting is correct and you're still only seeing four rows of data in the drop-down list, it's possible that the cell is not large enough to display all of the options. Try clicking and dragging the bottom right corner of the cell to make it larger. This should allow you to see more rows in the drop-down list.
  3. If neither of these solutions work, it's possible that there is a formatting issue with your worksheet. Try copying and pasting the data into a new worksheet and see if the drop-down lists display correctly there.

Default Drop down list not showing all the data....

Hmm, the description is a little spotty, but here's some suggestion.

In the 'Name Box' at the upper left, click the arrow. If you see the list
name, then click it. The cells that make up the list should have a box around
the cells. If the data you want in the list is not contained within the box,
it's not part of the list.

There's a couple ways to include the added data:
- Delete the list - Insert - Name - Define. then click the list name and
delete.
- Then recreate it: select the cells you want in the list and click in the
name box and retype the name.

Edit the list definition:
- Display the list definition: Insert - Name - Define. Then click the name
and edit the data in the 'Refers to: field to include the cells you want in
the list.

Change the list 'on the fly':
- Click on a cell in the current defined list that is NOT the first (top)
one. Right Click and select 'Insert...' Select 'Shift Cells down'. Type your
new data in the inserted cell. if you want your new data to be at the bottom,
then COPY the contents of the last cell and paste it into the inserted cell.
Then overwrite the contents of the last cell.

Default Drop down list not showing all the data....

Thanks Doc.. sorry for the lack of info.

Actually it took me a while to do some troubleshooting on this one to begin
with and your first suggestions was what I thought it might be, but it
wasn't, the other ones I hadn't even known of before but they weren't them
either.

I have a workbook, that was inheirited and the drop down list was created
using data validation and entering your own list as the criteria. Data
Validation...

Seeing as the list inheirited, I may just have to rebuild one myself. Though
I would like any input you may have about this issue.

THANK YOU!!

You can easily create the named list by going to the cells that make up the
list defined in the Validation 'Source' field. Select those cells, and click
in the Name Box in the upper left. Type in a name say 'Listname'. That
becomes the list name. Then go to the validation for the cells that reference
the list and in 'Source' field put: =Listname

You are done. Now you can expand the list as needed per my directions.
